General summary
Plans, directs, and performs critical board initiatives, administrative functions and projects for foundation board members and the executive director.
Major duties
- Completes multiple, diverse assignments for foundation board members and executive director.
- Directs and administers the executive director鈥檚 office functions and operations. Provides oversight and guidance to address and resolve issues referred to the board and executive director. Facilities contacts and problem-resolution, referring issues to the appropriate board committee or University office.
- Manages all board and committee communications, scheduling, and record keeping both in preparation for and during board and committee meetings. Submits meeting minutes for chair and executive director approval.
- Represents the executive director with communication to the board and to internal and external constituents.
- Ensures compliance with foundation by-laws in preparation for and during all committee and board meetings. Leads strategies and ensures compliance with staff and board professional and volunteer development.
- Coordinates the collection of data and information. Produces and edits letters, memos, speeches, presentations, and other miscellaneous documents.
- Oversees the reception desk operations. Ensures all inbound alumni and donor questions are handled with efficiency, accuracy, and professionalism.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Bachelor's degree in related field from an accredited institution.
Required experience
- Five years' relevant experience.
- Experience providing executive-level project support to a volunteer foundation board, including managing board committees, communications, document preparation, and compliance goals.
- Advanced office software skills, including proficiency in maintaining departmental-level databases and using and querying enterprise resource planning systems.
- Experience monitoring budgets, grant and gift funding documents, and complex issues specific to non-profit foundation functions.

- Ability to work irregular shifts and extended hours, including evenings and weekends.

Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
